Find submissions#
Open Listings and use the needs-approval filter. Open a listing to review the original purchase, seller, grade, cleaning answers, disclosed damage, notes, photos and asking price.
Choose a review outcome#
| Outcome | Use it when |
|---|---|
| Approve | The item and listing meet your program standard |
| Request changes | The seller can correct photos, condition, damage details or price |
| Reject | The item is ineligible, unsuitable or does not match the verified purchase |
Explain your decision clearly. Change requests and rejections notify the seller using your configured templates. The seller can update a returned listing and submit it again.
Publish the approved item#
Publication creates a Shopify product with one unit of inventory and places it in the Pre-Loved collection. The chosen product template and listing metadata support your theme blocks. Verify that it is available on the Online Store.
Monitor live listings#
A live listing can receive a seller price reduction, be withdrawn while unsold, or become sold. When it sells, Encored archives the listing product. The listing and sale history remain available to staff.
Follow an item’s history#
For a purchase that was already Pre-Loved, use Item history to understand the previous resale chain. Treat each new submission as a new condition assessment.
